Each year, the Carroll Center for the Blind helps nearly 1,300 blind or visually impaired children, adults and senior citizens gain the skills they need to live active and fulfilling lives. Our Newton campus houses our rehabilitation program, computer training classes, low vision store, and administrative offices. A large portion of our programs are services conducted in public schools, students’ homes, and their communities.

Join our dynamic team as an HR & Payroll Coordinator!

We are looking for a highly organized and detail-oriented HR & Payroll Coordinator to play a critical role in managing our biweekly payroll process and supporting various HR functions. This is an exciting opportunity for someone who thrives in a fast-paced environment, has a passion for accuracy, and enjoys collaborating with a diverse team to achieve HR and payroll excellence.

RESPONSIBILITIES

Payroll:

  • Coordinate and perform the biweekly payroll process and related activities using Paycom HRIS software.
  • Review approved timesheets for accuracy. Identify discrepancies and communicate issues to employees’ managers and/or Senior Leaders.
  • Ensure timesheet and expense approvals are completed in a timely manner prior to the payroll processing.
  • Educate employees on common timesheet issues and provide guidance to ensure accurate submissions.
  • Collaborate with Senior HR & Project Specialist to resolve any payroll-related concerns and escalate issues to the HR Director as necessary.
  • Review and submit assigned management reports, such as overtime hours and job code allocations, prior to each payroll submission.

Human Resources:

  • Process and manage employee data from initial hire throughout the employee’s lifecycle, ensuring all information is entered and updated accurately in the Paycom HRIS system.
  • Perform audits of employee benefits, Paid Time Off (PTO), Equal Employment Opportunity (EEO) records, personnel files, and other HR programs. Recommend and implement corrective actions as needed.
  • Assist with Open Enrollment activities, updating employee benefit changes, and managing benefit rollovers for the upcoming calendar year.
  • Ensure payroll deductions, including 403b contributions, benefit insurance, Group Term life (GTL) coverage, are accurately processed in the HRIS system.
  • Participate in various HR workflows and audits related to I9 form compliance, CORI checks, and COBRA administration, as needed.
  • Assist with the preparation of the annual performance review and merit programs, as well as Affordable Care Act (ACA) requirements.
  • Manage the organization’s employee recognition programs for birthdays and workplace anniversaries.
  • Perform other related duties as assigned.

Qualifications

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred. High School Diploma or equivalent required; High School Diploma or equivalent required.
  • 2+ years of experience in payroll processing and HR administration, preferably with experience using Paycom or similar HRIS software.
  • Strong understanding of payroll processing, benefit administration, and HR compliance.
  • Proficient skills in using Microsoft and Google suite applications required.
  • Excellent attention to detail, organizational, and time management skills required.
  • Ability to effectively communicate with all levels of organizational staff and external stakeholders both verbally and written
  • Strong problem-solving skills and the ability to handle sensitive information with confidentiality and the utmost respect.
  • Ability to work independently and as part of a team in a fast-paced environment.
