Each year, the Carroll Center for the Blind helps nearly 1,300 blind or visually impaired children, adults and senior citizens gain the skills they need to live active and fulfilling lives. Our Newton campus houses our rehabilitation program, computer training classes, low vision store, and administrative offices. A large portion of our programs are services conducted in public schools, students’ homes, and their communities.

JOB SUMMARY

This key role serves as a liaison between the Community department, instructors, partnering agencies and supporting our staff who deliver orientation and mobility instruction to individuals who are blind or have low vision. This position will coordinate the referral processes, manage staff training, and make certain documentation is accurate. Also, they will track billable hours, monitor staff caseloads, and maintain the integrity of the department’s database. Additionally, the Coordinator will streamline and administer client enrollment processes to ensure a smooth workflow, timely delivery of records for services, billing and reporting. Other duties include managing supplies, preparing monthly billing reports, running data queries, and assisting with the coordination of meetings and staff training. The Coordinator will also work closely with partnering agencies, prepare and submit reports and handle communication related to purchase orders and authorizations and perform other related tasks as assigned.

RESPONSIBILITIES

  • Provide administrative support to the Director and assist with logistics and operations of Community Services. 
  • Coordinate the referral process, respond to inquiries and process various types of incoming referrals.
  • Assist in onboarding and training new staff on department processes, including tracking billable hours, assist the Director as well as staff to ensure their timely and accurate completion of monthly paperwork.
  • Assist with scheduling and organizing staff meetings, staff training, major events on or off campus, and other departmental activities.
  • Monitor and maintain accurate records in the department’s database.
  • Generate and pull reports from the database as requested. 
  • Prepare and submit reports to external agencies, including instructor reports and monthly billing statements.
  • Design, run, and analyze data queries to identify trends and inform department decisions.
  • Track and manage purchase orders, authorizations, and communications with outside agencies.
  • Troubleshoot phone calls and request, follow up or take detailed messages
  • Perform other related duties as assigned.

Qualifications

  • 3 years of office experience including 3 years of strong office and computer skills required.
  • Strong working knowledge of Google suite, Microsoft Suite, and database platforms.
  • Demonstrated ability to understand and review processes and systems and to streamline/increase workflow to improve practices.
  • Must possess excellent interpersonal, oral, written communication, and organizational skills. 
  • Demonstrated attention to detail and the ability to work independently and as part of a team required.
